Last updated: October 2026

These Terms of Service (“Terms”) govern your use of the Virtual Assistant Hive website (virtualassistanthive.com) and the virtual assistant outsourcing services provided by Virtual Assistant Hive (“Hive,” “we,” “us,” or “our”). By accessing our website or using our services, you agree to these Terms. If you do not agree, please do not use our website or services.

1. About Our Services

Virtual Assistant Hive provides dedicated virtual assistant outsourcing services from India to clients worldwide. Our VAs are trained, India-based professionals who work remotely on your behalf. Services are provided on a monthly subscription basis as agreed upon during the consultation and onboarding process.

2. Eligibility

You must be at least 18 years old and have the legal authority to enter into a binding agreement to use our services. If you are acting on behalf of a company or organization, you represent that you have the authority to bind that entity to these Terms.

3. Engagement Process

  1. You book a free consultation via Calendly on our website
  2. We discuss your requirements and propose a suitable VA match
  3. Upon agreement, we execute a Service Agreement outlining scope, hours, and fees
  4. Your VA is onboarded with proper NDAs, secure access protocols, and role-specific training
  5. Services begin on the agreed schedule

4. Service Agreement

Detailed terms of each engagement, including scope of work, working hours, communication protocols, tools, and specific deliverables, are outlined in a separate Service Agreement executed between Hive and the client. In case of conflict between these general Terms and the Service Agreement, the Service Agreement prevails.

5. Payment Terms

  • All services are billed monthly in advance
  • Payment is due within 7 days of invoice date
  • Accepted payment methods will be communicated during onboarding
  • Late payments may result in temporary suspension of services after written notice
  • All fees are in USD unless otherwise specified in the Service Agreement
  • Applicable taxes (including GST for Indian clients) will be added where required by law

6. Client Responsibilities

  • Provide clear instructions, access credentials, and tools required for your VA to perform assigned tasks
  • Respond to communication in a timely manner to avoid workflow delays
  • Ensure that tasks assigned to VAs are lawful and do not violate any third-party rights
  • Maintain the confidentiality of your account credentials and notify us immediately of any unauthorized access
  • Not attempt to directly hire, contract, or solicit Hive VAs outside of our engagement for a period of 12 months after termination

7. Confidentiality and Data Security

  • All VAs sign strict Non-Disclosure Agreements (NDAs) before starting any client engagement
  • Client data is accessed only through secure, encrypted connections (VPN)
  • We implement role-based access controls. VAs access only the platforms and data you authorize
  • For regulated industries (healthcare, legal, financial services), we follow applicable compliance protocols
  • Our data handling practices comply with the Indian Information Technology Act 2000 and the Digital Personal Data Protection Act 2023

8. VA Replacement

If your assigned VA is not the right fit, we will provide a replacement at no additional cost. Replacement requests should be made in writing. We aim to match a new VA within 5 business days of the request. During the transition, we work to minimize disruption to your operations.

9. Cancellation and Termination

  • Either party may terminate services with 30 days written notice
  • No long-term contracts are required. Services operate on a month-to-month basis unless otherwise agreed
  • Prepaid fees for unused portions of the current billing period are non-refundable unless otherwise specified in the Service Agreement
  • Hive reserves the right to terminate services immediately for non-payment, material breach, or use of services for unlawful purposes
  • Upon termination, your VA will cease all work and return or destroy any client data in their possession

10. Intellectual Property

  • All work product created by your VA during the engagement belongs to you, the client
  • Hive retains no ownership of client work product
  • Hive's own intellectual property (website content, branding, proprietary training materials, processes, and methodology) remains the property of Hive
  • You may not reproduce, distribute, or create derivative works from Hive's intellectual property without written permission

11. Limitation of Liability

To the maximum extent permitted by applicable law, Virtual Assistant Hive shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to the use of our services. This includes, without limitation, loss of profits, data, or business opportunities.

Our total aggregate liability for any claim arising from or related to our services shall not exceed the total fees paid by you to Hive in the three months immediately preceding the event giving rise to the claim.

12. Indemnification

You agree to indemnify, defend, and hold harmless Virtual Assistant Hive, its officers, employees, and agents from any claims, damages, losses, or expenses (including reasonable legal fees) arising from your use of our services, violation of these Terms, or infringement of any third-party rights.

16. Governing Law and Dispute Resolution

These Terms are governed by the laws of India. Any disputes arising from or relating to these Terms shall first be attempted to be resolved through good-faith negotiation. 17. Severability

If any provision of these Terms is found to be invalid or unenforceable by a court of competent jurisdiction, the remaining provisions shall continue in full force and effect.
